Privacy notice
What we collect, why, who sees it, and how to change or remove it.
The short version.
We only collect what you type into our forms. We use it to run the team and to answer you. We don't sell it, we don't use ads or tracking, and you can ask us to remove it at any time.
What we collect
- Contact form: your name, email, phone if you give it, the topic and your message.
- Registration: the player's name, date of birth, CAN account email, skate assessment, position and jersey size; the parent or guardian's name, relationship, email and phone; an emergency contact; how you plan to pay; anything you choose to share about your player's strengths and what helps them; and whether you're OK with team photos.
- Player card form: what the player wants on their card, an optional photo, and the parent or guardian's name and email.
Who sees it
Only the Orcas team manager and the small group of volunteers who run the team, through a password-protected admin area. Registration details may be shared with Canucks Autism Network staff so they can run practices safely. Nothing on a player card goes on the site until a parent or guardian has okayed it.
Where it's kept
The site and its database are hosted with Vercel and Neon, in data centres in North America. Emails from the site are sent through Resend. Connections are encrypted.
How long we keep it
Messages are kept until they're answered and then for up to one year. Registrations are kept for the season they're for and one season after. Player cards stay up until the player or family asks us to take them down.
Cookies and settings
The public site sets no cookies. Your text size, calm mode and gear checklist are saved only in your own browser. The admin area uses one cookie to keep volunteers signed in.
Your choices
To see, correct or delete anything you've sent us, or to take down a player card, email manager@vancouverorcas.ca. We'll reply within 30 days.
